Job Title: Office Secretary
The Secretary is responsible for providing administrative support to management, handling communications, and ensuring efficient office operations. This role is crucial for maintaining a smooth workflow, managing paperwork, and supporting various departments.
Key Responsibilities:
Answer and direct phone calls, emails, and other inquiries from customers and suppliers.
Manage vendor invoices to ensure payments are made within terms.
Handle day-to-day office tasks including filing, organizing documents, and maintaining office supplies.
Help track and manage inventory levels and assist in reordering supplies as necessary.
Assist with processing purchase orders, invoices, and billing.
Run monthly statements and maintain customer account records.
Compile, organize, and update vendor and customer databases.
Help keep showroom clean and organized.
Required Skills & Qualifications:
High school diploma or equivalent
Experience in office administration, preferably in the building supply or construction industry
Strong organizational skills and attention to detail
Excellent communication and interpersonal skills
Ability to handle confidential information and maintain professionalism
Ability to multitask and prioritize in a fast-paced environment
Working Conditions:
Part-time -Full-time position (typically 30-40 hours per week)
Work in an office environment
Some lifting of office supplies and materials may be required
