Job Title: Office Secretary

The Secretary is responsible for providing administrative support to management, handling communications, and ensuring efficient office operations. This role is crucial for maintaining a smooth workflow, managing paperwork, and supporting various departments.

Key Responsibilities:

  • Answer and direct phone calls, emails, and other inquiries from customers and suppliers.

  • Manage vendor invoices to ensure payments are made within terms.

  • Handle day-to-day office tasks including filing, organizing documents, and maintaining office supplies.

  • Help track and manage inventory levels and assist in reordering supplies as necessary.

  • Assist with processing purchase orders, invoices, and billing.

  • Run monthly statements and maintain customer account records.

  • Compile, organize, and update vendor and customer databases.

  • Help keep showroom clean and organized.

Required Skills & Qualifications:

  • High school diploma or equivalent

  • Experience in office administration, preferably in the building supply or construction industry  

  • Strong organizational skills and attention to detail

  • Excellent communication and interpersonal skills

  • Ability to handle confidential information and maintain professionalism

  • Ability to multitask and prioritize in a fast-paced environment

Working Conditions:

  • Part-time -Full-time position (typically 30-40 hours per week)

  • Work in an office environment

  • Some lifting of office supplies and materials may be required
